Editing text with the right tone and nuance

Important documents should always be error free, no matter what language they’re written in. When working with international partners or clients, it's especially important to conduct a thorough review. The texts people read about your organisation greatly affect their trust in your business. For other translations like contracts, it’s essential that the actual content of the text is correct as well. That’s why it’s crucial that texts are well written and accurate.

What is text editing?

Editing (also known as revising) simply means improving and adjusting texts. If desired, we can advise you on adjustments to tailor the translation even better to your (foreign) target audience. You can also have your own texts or existing translations reviewed by our experienced revisors. Our project managers will discuss with you which parts of the texts require extra attention. Together, we can focus more closely on the actual content, which is important with contracts for example, or ensure the right tone of voice is used in marketing texts. In addition to spelling and grammar errors, the revisor filters out the following possible flaws:

Wordiness

Texts are often too wordy. Generally speaking, 25% of a text can be trimmed. Inexperienced writers tend to repeat themselves a lot. Recent studies show that writers who use unnecessary words are perceived by readers as less intelligent and less credible.

Official-sounding language

Untrained writers often use fancy words to try to elevate a text. However, this usually happens at the expense of readability. Our experienced translators can improve your text by cutting unnecessary phrases, so your message is perfectly aligned with your (international) audience.

Overly long sentences

Inexperienced writers often use overly long and complex sentences. This makes a text much harder to read. To ensure your message resonates with your intended audience, it’s a good idea to have a professional translator review your text. With a great sense for language and nuance, they will take your writing to the next level while maintaining readability.

Difference between corrections and revisions

The terms “revision” and “correction” are sometimes confused. However, these specialisations differ in several ways:

Correction (focus on linguistic accuracy)

With a correction, the text is checked for language errors such as spelling, grammar, punctuation, and typos. The content and style of the text remain largely unchanged. The goal is to produce an error-free version of the original text without making stylistic changes or overhauling the content.

Revision (focus on language and content/style)

A revision goes beyond simple error correction. Revision also takes into account the style, tone, word choice, structure, and possibly the translation (if it’s a translated text). The revisor may rewrite phrases and sentences to make the text clearer, more consistent, or better suited to the target audience. Sometimes the revisor is given a briefing with specific preferences or guidelines for tone and style. For important texts such as academic literature, books, publications, corporate communication, or advertising, a full revision is usually recommended, carried out by a native speaker of the target language.

Frequently asked questions about text editing

A revisor is a second language professional capable of editing and proofreading texts. They control and/or correct the output of the translator and check for inconsistencies and typos. Whenever a translator is preoccupied with the same assignment for too long it’s normal for small mistakes like these to slip in. This is why every translation includes a revisor check, ensuring that we can deliver the highest possible quality standard.

Of course! Even though we think sticking to the “four- eye principle” certainly holds merit, it’s always possible to self-edit your text. Our first tip is waiting at least a day before you start editing to make sure you are alert and haven't been staring at your text all day. Second, read your text backwards (or out loud), we know it sounds silly, but by doing this, mistakes stick out more as opposed to a regular proofread.

To minimize extra costs and ensure the process goes as smoothly as possible, it is important that we receive the final version of a text. Take this in account timing wise when you need a translation. Making small changes in your text after the translation can cause an unwanted domino effect of details that will no longer be correct.

This principle refers to how there are always at least two language professionals (four eyes) involved in all translations, one translator and one revisor. This is done to minimize mistakes and to be able to ensure the highest possible quality standard.

Regardless of the chosen translation tier, a revisor check is included. The revisor check of the economy tier however is not as thorough and on a sampling basis. This allows us to offer a more affordable rate for this tier. More on our rates here

Whenever a text is going to be published, and said text reflects on or speaks for a company, we recommend investing in a professional translation or at least revision. This way you can ensure that small mistakes reflecting badly on the professional reputation of a company don't remain in the text.

Translation technology for text editing

VBP 009 Illustratie vertaalgeheugen V2

Translation memory

Our translation memory software can recognise repeated and previously translated texts. This increases the consistency of the translation and prevents extra costs. Previously translated texts are saved in the translation memory. Each client has their own translation memory.

VBP 009 Illustratie terminologielijst V2

Terminology list

If a specific translation or tone of voice is requested, this can be stored in the terminology list. These translations will then be suggested to the translator during the translation process. This improves the consistency of the translation and allows for special requests to be accommodated.

VBP 009 Illustratie automatische kwaliteitscontrole V2

Quality control

In addition to a second check by a human translator, we apply an automatic quality control check. This includes stylistic improvements as well as a spell check and overall translation review. This aids the translator and revisor to better find mistakes in the texts as well as to improve the consistency of the translation.
